Your website is nearly ready, you have made your first business purchases and are speaking with potential clients. But you have no paying customers yet. Is it already time to register with KVK?

The answer depends on your activities and plans. Your business does not always begin with the first invoice. Preparatory steps can also make registration appropriate.

Zakelijkhuren24 helps entrepreneurs with a business address and receiving business mail. Preparing well for registration starts with clarity about your activities, start date and chosen address.

Your business can begin before your first customer

Much can happen before your first revenue. You buy materials or stock, develop your offering and look for premises. You may also invest in equipment or prepare a permit application.

Having no customers therefore does not automatically mean you cannot or need not register. Your preparations and plans for operating the business also matter.

Suppose you are preparing an online shop. You have purchased products, made a sales plan and begun reaching potential customers. That differs from merely considering a possible business idea.

When is registration appropriate?

KVK considers three entrepreneurial criteria, among other factors:

  • You independently supply products or services, or prepare to do so.
  • You charge a price or rate that earns money.
  • You regularly supply people beyond family and friends.

If uncertain, investments, time spent on the business and efforts to find customers are also relevant. Consider the whole situation: lack of revenue alone does not fully answer whether you must register.

Sometimes you need a KVK number earlier

During preparation, you may face a practical question: how do you arrange things already requiring a KVK number?

This can arise when renting premises or applying for a permit. Registration before actually starting is possible in some circumstances. The appropriate route and evidence depend on your situation.

Check before making arrangements dependent on registration. This avoids delays caused by missing documents or an application that cannot yet be completed.

Describe your business activities clearly

Prepare a clear description of what your business will do. For example, write down:

  • Which products or services you offer.
  • Which customers your offering targets.
  • What preparatory work you are already doing.
  • When you intend to start your activities.

A concrete plan helps you prepare registration carefully and identify decisions still needed before starting.

Plan your business address in advance

Consider your business address during preparation. Which address do you want to use, and are you allowed to use it? Where should business correspondence arrive?

Distinguish the business address from the mailing address. The former shows where your company is established; the latter receives business mail. A separate mailing address does not automatically replace your business address.

Considering an external address? Read about a KVK registration address. For receiving business correspondence, read about a business mailing address.

Start keeping records immediately

You can incur business costs before having customers. Keep invoices, agreements and payment records from the preparation stage onwards.

KVK registration does not automatically make you an entrepreneur for every tax. The Tax Administration uses its own criteria. Check your tax obligations and which returns apply.

Preparing your activities, records and address lets you focus after launch on developing the business and finding your first customers.
