A new service, an additional employee or a move: your business keeps developing. Do its registered details keep up? Information correct at launch may now be outdated.
Zakelijkhuren24 helps entrepreneurs with business addresses and receiving mail. Reliable communication starts with correct details. We therefore recommend regularly checking your KVK registration, even when no major changes seem to have occurred.
Why correct business details matter
Customers and suppliers may use the Business Register to check your company. Banks, insurers and government authorities also consult your registration.
If your company name, activities or address do not reflect reality, questions may arise. A customer may see a different trading name on your quotation, or an insurer may assume you still carry out work you have stopped doing.
Checking your registration helps identify differences promptly. Pay attention to these five areas.
1. Do your registered activities still reflect your business?
Perhaps you started as a web designer and now also offer online marketing, or initially sold products online and now provide advice too.
Check that the description of your business activities still clearly reflects your work, including new activities and those you have stopped. Registered activities and associated SBI industry codes can matter for insurance and permits, among other things.
Describe your work specifically. A description that once matched your plans may no longer reflect today's business.
2. Is the correct business address registered?
After a move, everyday operations often demand attention: setting up workspaces, moving equipment and informing customers. Give address registration its own place on the checklist.
Distinguish your visiting address from your mailing address. The visiting address is where the company is established; the mailing address receives business correspondence. They may be the same, but serve different purposes.
A different mailing address therefore does not automatically change your business address. Want correspondence delivered separately? Read more about a business mailing address.
3. Is the signing authority still correct?
Who may sign agreements or make business arrangements for your company? Check that the registered signing authority still matches your situation.
Pay particular attention when a director or partner leaves, someone joins or a power of attorney changes. Do not assume an internal arrangement automatically updates the Business Register.
4. Is the registered workforce still current?
Have you hired staff, or has your team shrunk? Check the registered number of people working in the business.
This may include more than employees: working owners, partners and directors may also count. Check who falls within your company's registration.
5. Are your trading names recorded correctly?
Entrepreneurs sometimes use a new trading name for an additional service or target audience. Check that the names you actually trade under are registered correctly.
Also review your website, quotations and invoices. Can customers clearly identify the business they are dealing with? Consistent details avoid confusion.
An address change requires more than one update
When your visiting address changes, KVK passes this to the Tax Administration. A change only to your mailing address must be reported to the Tax Administration yourself. Other organisations do not automatically receive your address change from KVK.
Keep your own list of organisations needing the right address, including your bank, insurer, accountant, suppliers and customers. Check invoice templates, email signatures and business listings too.
Our explanation of changing your KVK mailing address helps clarify the distinction between your addresses.
Make the check part of your administration
Set a regular annual reminder to review your business details. Do not wait for it if you move, start new activities or make significant changes in the meantime.
This keeps your registration, communications and contact details aligned with the business you run today.
